Ordering items for your booth

Our official show decorating company is Global Convention Services. Global provides pretty much anything you may need for your booth including electrical, plumbing, and lighting along with carpet, vacuuming, booth furnishings, and various booth accessories. If you are out of town and need to ship your booth material in advance of the show, Global can also help you with that as they have warehouse space available to receive your shipment (they will also get your shipment over to TRADEX on Move-In Day).

Note: The exhibition hall floors are completely cemented; there are no sections of permanent carpet. We encourage the use of carpet to improve the professional look of your booth.

Order Permits and Other Items

  • Wired Internet: If you require wired internet, you can order that from TRADEX. The cost for one subscription is $280, and is good for the duration of the show. Early Bird Deadline: May 19, 2022 (Orders are accepted at any time, but the rate goes up $50 after May 19.)
  • Sampling/Personal Services: Planning to have food products in your booth? Please click below to apply for a Temporary Food Premises Application, at least 2 weeks before the show. (May 19th.) There is no charge but must be submitted by the deadline. Please submit forms to: Mia Lumitao-Jeansonne, HPAbbotsford@fraserhealth.ca
  • Balloon Waivers: Did you know that Tradex is located right beside the Abbotsford International Airport? Due to being located on airport property, and the potential for interference with local air traffic, Tradex does not permit the handing out of air or helium-filled balloons. In some cases, exceptions may be made to allow exhibitors to display balloons within their booth area. If you wish to display or decorate with balloons, please fill out the Balloon Waiver Form.

At TRADEX

Arrival

Look for the overhead sign directing “Exhibitors and Deliveries” via Approach Road that turns onto Cornell Street. This road runs right past the main entrance doors of Tradex, and then wraps around the facility for exhibitors to easily access the loading bay door at the end of the building.

Upon arrival, check-in with the Show office to confirm you are onsite and receive any important information. If you are driving into the building the rep will be able to direct you to the overhead door closest to your booth.

Please note that the loading bay is reserved for exhibitors who absolutely require it. Please contact Barb Nelson at barb@eventsplusmanagement.com or 604.328.0029 if you require a loading bay for your truck.

In accordance with WCB regulations and in light of the vehicles and forklifts on the show floor, no children under 16 are to be on the show floor during move-in and move-out. We understand the burden that this may create for some, but safety concerns for all individuals on the show floor will require that this is strictly enforced. In addition, steel-toed footwear may be required during certain times. Please watch for announcements.

Unloading

Once you’ve arrived at your designated loading bay door, a Health & Wellness Show rep will direct you to your booth space. Security will be positioned at each loading bay door to operate during move in and out. They will all closely follow the WCB and emergency regulations. Please be aware that you must follow the directions of security. There will be a forklift available to help transport items to your booth if needed. Once unloaded, please drive your vehicle back out to the parking lot once security gives your clearance.

Setting up Your Display

Move-in runs from 1:00 pm to 8:00 pm. Drive-in opportunity ends at 4:00 pm, but the display setup can continue until 8:00 pm.

Please ensure that your display materials are within the confines of your booth when the aisle carpets are being placed. It is your responsibility to put your display containers, etc. into the storage area.

Garbage bags may be left in the centre aisle for the cleaning team to pick up.

Storage Space Procedure

Packing materials must be placed in the storage area designated at each end of the show halls. Get a “Storage Sticker” from the show office to place on your materials and then take the materials to the storage area. IF you have any questions please feel free to ask.

Saturday Morning Set-up

There will be no drive-in opportunities Saturday morning. All items must be carried in on June 4th. You must be set up no later than 9:00 am. Be sure to pick up your badge first at the show office located in the lobby.


Booth Display Rules and Regulations

Please don’t block the exhibitor beside you! There are certain limitations regarding blocking off neighboring booths. The regulations for The Health & Wellness Show are the same as for other shows. These limits will be enforced.

Each booth is provided with a 10-foot wide by 8-foot high curtain backdrop, plus 3-foot high side curtains separating you from your neighbor. You may have solid material for a maximum distance of 5 feet from the back of your booth. The next 5 feet to the front of your booth must be kept clear or have only see-through type material. (To be approved by show management.) Display racks and solid structures will not be permitted if they exceed the 3-foot height.

Exhibitors with “end caps”, a double booth on the end of a row, are allowed a 10-foot wide backdrop. If your booth height extends above 8 feet at the backdrop, please be sure that all visible sides of your booth are finished.

Secure Floor Coverings

Use Shurtape® double-sided carpet tape to secure carpets and all other materials to the floor. Duct tape and other unapproved tape is not approved. Removal, clean-up and/or floor repair charges will be passed on to the exhibitor.

Floor Protection

If you are bringing in material that could damage the floor, please be sure to place a plastic covering on the floor. Note: Any costs incurred for damaged floors and walls will be passed on to the exhibitor.

Courier Deliveries:

DO NOT SHIP DIRECTLY TO TRADEX. Tradex will NOT accept courier deliveries as they have no facilities for receiving and storing materials. All deliveries of booth material must adhere to the move-in process. Deliveries will be accepted on June 3 only. A forklift will be available to assist with moving pallets off trucks as well as pallet jacks.

Move-Out Schedule and Procedure

Sunday, June 5th, 4:00 pm – 8:00pm

We kindly ask all exhibitors to be sure that all booth material is physically removed from TRADEX on Sunday, June 5th by 8:00pm.

Display take-down may begin at 4:00pm but all activity must remain within the confines of your booth space until the carpet is completely rolled up. Please DO NOT begin dismantling the booths prior to 4:00pm. Anyone caught doing so may be barred from next year’s show.

Solicitation by Non-Exhibitors

Please report to the show office any person or persons who are soliciting on the show floor but are not exhibitors. In fairness to our exhibitors who have paid for their booth space, this solicitation will not be tolerated. Thank you for your assistance.
